The Operations Manager - Venues and Programming will operate with a

and Venues.

The duties of the Operations Manager - SU Venues are diverse and  ; G% g3 _/ [' X( I7 u( H! q
extensive, and are targeted at the all round smooth operation and  
$ v2 k! }8 _  g' H8 X+ jfinancial and operational success of the Horowitz Theatre as well as  
; `( i2 v, n6 k) o9 y. xthe logistical organization and smooth rental of the additional  
9 Q* j- Y% w5 D# Vvenues within the realm of the Students´ Union.  In the light of that  
' Y+ F+ u6 n( Zbreadth and complexity, it is not possible to fully define or  + a# }# v9 M- R6 f" O! P( f/ r
describe all roles and responsibilities in a document of this kind.   ) C. N2 B0 I' z; J5 W# L
However, the main roles and responsibilities of the Operations  , }, z$ W' t, w+ m, |0 a) a

a.   To ensure, at all times, that the venues listed below meet the  
6 Y) k0 f$ _, N. ^9 `( Pappropriate standards, requirements and needs, and contributes in a    ~% ~: X$ h4 q, p% u) }
positive way to the smooth operation and success of the individual  
  D  l6 |' M( z$ D- F" `renter.
2 N! Q' y6 J# ~·     Myer Horowitz Theatre
4 I& k6 N( w* Q* y" z4 B* z·     Dinwoodie Lounge+ W( y" m- y/ b  D
·     SUB Stage

+ V+ G. E8 v. i9 t/ L& ~7 ?b.   This includes, but is not limited to, the following:
( h, g# {/ I3 u·     To plan the capital and supply expenditures to meet the  
) I: r) r  z* bproduction and facility requirements.
  r3 f: S; L0 n+ M8 B9 s·     To ensure the day-to-day compliance of the venues with existing  
! V3 t, g- r4 S( M7 Dsafety regulations and building policies.
; z# v; a0 R! ~To ensure that the maximum potential of renters is met.

2.        Marketing and Promotion9 k2 A# }9 c" Q* T( c4 [: i( x

% ~* T' V$ N* E1 Na.   To develop and implement a marketing plan for the venues that  
/ G) |& v% z) Y2 i& C: Zfocuses upon advertising and promoting the venue to faculty,  
# g- A3 K  N2 K* x: ostudents, and internal and external clients on an on-going basis.  8 y% d, V- q! `3 T" j9 p8 i; E7 P
This strategy will include implementing and/or delegating the following:- l4 ^( |- P5 l9 f( d
·     To develop and maintain promotional materials, the Horowitz  / p( S! p- D! M2 o  ]
Theatre and SU Venues home page, newspaper and other advertising; to  
1 {! R# r0 r9 @' N- u# ytake advantage of other internal and external advertising  6 L3 E3 r, D4 t9 }2 n7 p2 Q. J$ N
opportunities; and to develop press releases and other promotional  
) Y+ }6 C5 k6 D" v5 l3 X4 m+ m% wliterature on an ongoing basis.
4 T0 l* g2 \$ j* X  @+ F7 H" S0 _·     To coordinate tours of the venues for potential renters.
/ H% T3 T) w7 n9 u6 ~: K: U+ W0 H·     To promote upcoming events in the Horowitz Theatre through the  
+ R- |5 \. U* h9 _3 Uuse of the Horowitz Theatre Home Page and the SU Events Calendar.
% D4 U% f, P6 S% ?·     To develop new external clients for the venues.
! N# V/ o* @" h7 H, K5 X" N0 [( Q+ K- Y2 E& U7 Y

# G, N$ M: H) ]) B' M; E1 u3.        Staff and Supervisory Roles and Responsibilities2 j: _7 O: Z2 S  `
6 i) @# b8 n4 ^; B' N9 W) n
a.   To ensure, at all times, that the venues are adequately and cost-
; @) d; c8 V2 x: C  E4 Eeffectively staffed, and that the staff utilized by or within the  
2 b- R& w$ C0 B* Qvenues meet the appropriate standards, requirements and needs, and  . r$ L; o3 V% ]
contribute in a positive way to the smooth operation and success of  
8 j$ z3 V" e! K& X( ~) ethe renter´s events. This includes, but is not necessarily limited  9 f: H0 j, F) @' p" R
to, the following:+ {7 K$ m. ~1 j0 w/ k/ V3 T
·     To be responsible, under the direction of the Manager of Venues  ) }& I$ A; A4 r& c- {$ {3 }
and Programming, for all staff issues including hiring, disciplining,  # r8 b' d; e$ V; M+ G3 L
evaluating and terminating, as necessary.
9 k( G7 y' A2 d3 M' t/ M To ensure that the Horowitz Theatre is adequately supervised at  
$ p7 b) b! v1 O# s# Call times, this includes the development and implementation of such  
1 z2 H5 ]- `" [  j. |schedules and rosters as may be necessary to ensure the effective and  
, P( i; L2 J. x8 D; C# W" _  |1 vcost-effective supervision of the venues at all times during which it  , c7 Y$ u2 S$ s  c+ Q" x5 L" ~, I
is in operation or needs to be in operation.
5 G5 B; u# C% l·     To work with the Technical Director, when necessary, to ensure  
% n( a1 [7 |$ E0 ^% ~* d3 Ithat an adequate and appropriate level of part-time staff exists to  . q- j9 r! u4 d2 L; ]! {7 u
facilitate the smooth operation of the venues and to ensure all  2 W- U# g! K6 E) [. c
renters needs are met.. o5 ^( n. P2 L$ e- E1 d
·     To work with the Technical Director to ensure that the skills  
$ [, y. s/ O' C" D0 Cand attitudes of all subordinate staff are appropriate in light of  ! o+ W  v4 g' r& Q# L9 `
the roles they must perform. This includes providing adequate and  
7 b- G: m. u- R" U7 Jeffective training (and re-training) in all applicable and  8 e1 ^7 k9 G& J+ z
appropriate areas, and ensuring that the Policy and Procedures manual  
% ^% ?) f0 n' sis kep up-to-date at all times.
) a& p9 h0 R( S4 j' l4 s·     To ensure all staff are trained in and committed to providing  
* x: z0 n. A9 _8 c2 n8 n+ _  L) |excellent customer service to all renters.5 [. W- [6 m. j- |
·     To work with the Technical Director to arrange staff  
4 D2 t# c0 H: A8 Hscheduling.  To handle payroll related matters, under the guidance  1 A& v. ~9 o& S8 k/ b
and direction of the Manager of Venues and Programming, concerning  ' w- W* V8 Y  m9 X% C% q- P
the staff of the venues.
; W. Y4 ?7 U2 o9 }. i·     Working with the Manager of Facilities and Operations to ensure  
; S* s3 ]) Q: I* Z' D! L2 b6 Cthe appropriate setup/tear down of each venue.# @% ?: n2 ~1 G2 m9 A" W' t
·     Working with the Manager of Programming and Venues to ensure  
9 ^* Y6 K6 W7 O& R% T2 Uthat additional requests such as licensed receptions are arranged.5 \9 _' u9 L1 @& k

& s& p& @  o+ Z! U* P& [4.          Overall Financial Performance

- z  K  ?3 W+ i0 Ma. To ensure, at all times, that the Financial and Administrative  7 f8 {0 Z4 h- E& P% j2 S1 M
systems and processes utilized by or within the venues meet the  
( h: \( H: ~" O% G9 s6 }* X+ Pappropriate standards, requirements and needs, and contribute in a  
1 x; x: Z: U" G3 l6 Epositive way to the smooth operation and success of the venues. This  
+ @, [$ z( t$ pincludes, but is not necessarily limited to, the following:
- u9 W% ^4 L9 Y) E: C% ]" U) ` To provide input and expertise in the formulation of appropriate  3 f; }) [) ?( b! Y6 h
operating budgets covering the venues to the SU´s Manager of  
3 P  k# u- G+ }* M3 ?3 EProgramming and Venues and to discuss and refine those budgets  / |7 p# f) B( W3 x' h' `
Manager of Programming and Venues, and Manager of Finance &  % x) F+ t7 t/ f, K
Administration prior to their submission for final approval.
1 }7 O6 O& \* I1 ^·  To manage the venues in a manner which adequately and effectively  
- ?4 v! j3 |/ b; N9 ]reflects the budgets approved for the venues and/or which reflects  
& A/ ]" ~9 f* mthe best interests of the venues and the Students´ Union.
) b2 f1 o* p/ v+ C8 [·  To function as the key player in the submission of financial and  
9 k5 g: a; }5 }4 W7 V' B3 _) Gadministrative documentation covering the venues to be used in the  
( Y% U5 ?+ H, p% B" h0 [# pcompilation of monthly and annual financial statements, and such  
0 o' z6 B1 U- s! s; a( j  Rother reports as may be necessary.9 O6 c( g1 q: V: ?# K
·  To discuss those financial statements and other reports, together  
$ b, {+ L4 W; q. H( gwith all financial and administrative procedures, with the SU´s  + o' z- ]1 }+ [! ]( H
Manager of Programming and Venues and Manager of Finance &  
2 D' S' f3 d9 RAdministration with a view to determining and implementing action  ) v: R8 @& j4 _- K
aimed at improving the financial and/or functional effectiveness of  1 }% U# z, c- B/ m
the Horowitz Theatre.- k" k: S9 \( C; O
·  To ensure the existence of adequate, effective and accurate job  " M7 T+ m" e% L
costing systems to be used in connection with the determination and  
( n4 Q% N2 Z0 R5 I5 j: Ysetting of appropriate prices for rental and staffing rates for  
, R; n. L( O2 X  Q# b5 vevents held in the Horowitz Theatre.
( e# R& M+ |4 O2 K6 B0 g·  To develop accurate documentation to be used in connection with  
; {7 k) R# H7 d+ Z) F. S  E+ athe billing clients, and to forward such documentation in a timely  & c/ B& ]  K5 T% `3 P
manner to the Accounting Department.
2 [, C* ~- M* ~" S( {, T·  To recognize, address and handle all matters relating to financial  
4 j* n9 j" {* p: `6 iand administrative procedures and systems in a manner which reflects  
# b' A" A3 O0 e6 w9 z& l: K" f) ^the requirements of the SU´s Manager of Programming and Venues and  
4 [. x7 [, v7 W; H, zManager of Finance and Administration, and in a manner which  $ ~$ [: \1 F$ f" D0 \# u& v8 A
contributes positively to the smooth operation and success of the  $ l( u: R+ D. b- Q8 i& C
venues.

; E% g: q* ?$ }4 J* ?# Y5.          Overall Roles and Responsibilities# k# a: B. N0 |: Z0 X+ r! Q* H
a.   To ensure, at all times, that the systems and processes used in  
: u# I. N  E1 u% H  J7 H. K3 orenting the venues meet the appropriate standards, requirements and  
6 m% O: ~. z; ~- Mneeds, and contribute to the smooth operation and success of the  
/ x/ l! ~, D1 h1 cvenues. This includes, but is not limited to, the following:& `0 y7 i5 ]- Y4 ~

0 A( m1 h, d+ X8 u3 F+ X. G! c·  To recognize, develop and set in place such rental procedures as  
  w& |. R6 P& w& o( j1 Wmay be necessary to ensure the smooth operation of the venues, this  . g' h% Z4 A/ l; H9 R; K1 \
is to include but not necessarily be limited to systems and processes  : ~# t9 [/ ^& D: y2 s
in the areas of contracts, inventory management, contract evaluation,  $ x; r# g; ?# Y( Z+ O; ]1 B
pricing, costing, equipment usage, rental/contract invoicing,  ( @; z5 U- k8 q1 k% W: N
together with such other systems and procedures as may be necessary  
- U: W9 V5 J' |6 D+ I" }to ensure the smooth, secure, efficient, cost-effective and  / G! }3 q; A& D
functionally-effective operation of the Horowitz Theatre.& a! y: \5 A7 N% k" ~0 e( N
·  To recognize, develop and set in place such operational procedures  
7 M8 w& F0 ~- R3 |/ ]as may be necessary to ensure the smooth, efficient and cost- - h  r2 {8 A; F5 W9 o
effective operation of the venues.' t8 v2 G4 ~4 i+ g# A1 V( s  K3 Y
·  To negotiate rental lease agreements (contracts) relating to  
1 g1 N1 j3 H' K2 v9 edates, rates, staff and miscellaneous charges.6 p) Q. W) Q  B# Y  s% t! w
·  To ensure that adequate inventory is available at all times and  ( q) X+ ]( G4 ]1 K7 c/ w  Y
that such inventory is stored and issued in effective and secure ways.
5 W9 S4 s9 v7 q·  To consult with renters as to facility issues in producing their  * |& K' D2 X- ?6 ~" p
particular event in the venues.: S# {1 @2 M# y: V0 N. z
·  To provide the venues on-site staff with such documentation and  4 I$ e- _# S4 X8 [& t
supporting information as it may need to effectively fulfill the  5 \8 l4 x9 A# e3 {" ?  v
roles they are to perform to ensure the success of the renter´s event.' H+ G( P. E9 s0 k: T
·  To produce quotes in respect to staffing costs for a particular  " w1 m, j& E0 Y( c3 R
rental with consultation with the Technical Director.) v1 @7 R! o4 r
·  To ensure that all queries raised with the venues whether from the  
) e! Q/ K2 D) m2 _8 ASU or renters, are promptly and effectively handled and adequately  8 M8 G5 ^, H- F, k  _) X6 Q
answered, and to ensure that such action as may be necessary in  
' J  T+ y: z% Y6 W5 I; `6 F5 Ofollow-up to such queries is taken in a timely manner.
! G7 [: U3 |! `" `7 P To ensure that the venues and its capabilities are adequately,  
/ |! S* N+ i+ q0 Y1 s1 `effectively and cost-effectively advertised and promoted, and that  
; K6 p' A# x4 J! F* L: nthe cost of such endeavors does not exceed the budgetary provision  
* J- W* b& e2 u# D7 B$ j  o/ R& {made for them unless prior approval is given by the Manager of  5 U* T, P& q! X3 x0 t# `
Programming and Venues.
) r& I9 {8 M  d! {% c" `4 q·  To act as an informed and knowledgeable resource in the case of  
- d6 |5 o7 v- F4 vsignificant challenges and/or problems surrounding the tasks of  
' V/ t1 r1 l- ^  u% pmarketing, administration, operations, and any such other matters as  
/ w. T! C: ^( @' z' H! v0 T+ Vmay provide such challenges and/or problems.8 ?- N$ D* |! ~
·  To attend such meetings as may be required to support the smooth  + R/ G/ g5 r0 D9 u- l8 o
operation of the venues or the Students´ Union as a whole.8 x. P0 g: J7 v
·  To perform other job-related duties as may be required by the  
2 `" G4 L1 v( eManager of Programming and Venues in order to ensure the smooth and  4 P, Y/ Z; `! u; E) w
secure operation of the venues.

9 n. ^" ~  }$ J' woperations in a manner which reflects the requirements of the SU´s  : z1 {3 A8 N3 D! j; g. [

Administration, and in a manner which contributes positively to the  , f4 A: R$ A- r

QUALIFICATIONS:6 J$ O4 Z# `6 T2 q" f/ B4 J
1)             Minimum two years related post secondary education, or  
" x& l# n4 P- ]" L; \an acceptable combination of education and experience.0 j+ l6 I8 r+ s6 _% e( [- r: F. x3 v3 ]1 ~
2)             Supervisory experience.
* @" i/ P- P; J3)             Ability to create new initiatives with little or no
