direct line reporting relationship to the SU´s Manager of Programming

The duties of the Operations Manager - SU Venues are diverse and  " [- y  j; ^6 J2 [
extensive, and are targeted at the all round smooth operation and  4 o' o7 ?% m3 a% ~: U+ Z+ x% _
financial and operational success of the Horowitz Theatre as well as  9 K6 u7 e0 c/ B1 D9 |
the logistical organization and smooth rental of the additional  , y. h9 {5 |3 K0 H* Z
venues within the realm of the Students´ Union.  In the light of that  
8 J" M0 {' c+ M0 X$ n8 ibreadth and complexity, it is not possible to fully define or  8 E$ A7 p$ q; k4 o* P# V
describe all roles and responsibilities in a document of this kind.   . e) b2 m3 o$ h, I
However, the main roles and responsibilities of the Operations  ' j2 E- O# g: T4 \

a.   To ensure, at all times, that the venues listed below meet the  
: W% M6 a: t: }2 l& Dappropriate standards, requirements and needs, and contributes in a  
+ R, m/ @- K* ?: N& zpositive way to the smooth operation and success of the individual  ! e  h0 ~! F5 Y- B$ @0 [6 V
renter.

·     To plan the capital and supply expenditures to meet the  / S( Q6 E( b8 e# @) ?: p  j

·     To ensure the day-to-day compliance of the venues with existing

To ensure that the maximum potential of renters is met.. ^- V) z* A5 ]  J3 X, T

) n+ \8 w, e+ d) Y9 C+ F2.        Marketing and Promotion
( \* g5 W% g+ T* g
2 l" }( n: l+ n7 F8 C/ |; x, ya.   To develop and implement a marketing plan for the venues that  
9 f" j* n, i3 S5 i8 U7 Afocuses upon advertising and promoting the venue to faculty,  3 x" D7 ~7 ^+ s% g' T/ r1 o
students, and internal and external clients on an on-going basis.  / P, v2 g7 [  y1 r. F2 a& _
This strategy will include implementing and/or delegating the following:
3 Z- I& r+ E: V·     To develop and maintain promotional materials, the Horowitz  ) Y5 g# y2 i6 E( e6 s. N
Theatre and SU Venues home page, newspaper and other advertising; to  $ T- N3 ~/ I! A+ p
take advantage of other internal and external advertising  
4 E1 v" D, W4 a5 C  g$ bopportunities; and to develop press releases and other promotional  9 I9 ^' `7 a$ y: h8 _3 X, T7 i
literature on an ongoing basis.! c3 `7 o( X1 `
·     To coordinate tours of the venues for potential renters.
( t. b/ S  z/ H( C7 }5 q·     To promote upcoming events in the Horowitz Theatre through the  
6 ~3 P- M; x- J& P8 F' |use of the Horowitz Theatre Home Page and the SU Events Calendar.
# J9 x  S8 m, H" F·     To develop new external clients for the venues.
8 d2 M' \# ]' E8 Q/ z& d) Y* a- q0 g2 X

7 q+ b# n' U, j' U" S2 Y# {3.        Staff and Supervisory Roles and Responsibilities
& Y1 A- M0 [3 B  x: X0 m8 F8 S" r- V7 z
a.   To ensure, at all times, that the venues are adequately and cost-
3 }1 M, L% D2 E* I* N* F" Veffectively staffed, and that the staff utilized by or within the  
- k9 a& g; w& {  e9 Mvenues meet the appropriate standards, requirements and needs, and  $ I; x2 Q' ?2 w8 c* r
contribute in a positive way to the smooth operation and success of  
" ^. n" j" _# A) \1 X6 U: Vthe renter´s events. This includes, but is not necessarily limited  ( Q6 C* s( W% L$ o6 [
to, the following:; r4 u! d5 H3 m3 L- m
·     To be responsible, under the direction of the Manager of Venues  - i/ P% b! [% E5 i/ B3 m
and Programming, for all staff issues including hiring, disciplining,  
) \/ z6 \' M! Tevaluating and terminating, as necessary.
7 F; W) F6 R3 C! m To ensure that the Horowitz Theatre is adequately supervised at  & q6 e" N( `. U- ~4 ?
all times, this includes the development and implementation of such  $ U# K" S" ]4 ^1 ?$ A$ G
schedules and rosters as may be necessary to ensure the effective and  
3 H. e' z# r+ L) y8 `& U0 @: Hcost-effective supervision of the venues at all times during which it  
# ~7 p; c& K; G; t1 vis in operation or needs to be in operation.
" _- C& o9 _, w" @9 f3 P9 p: h4 c·     To work with the Technical Director, when necessary, to ensure  ) R; Z- K2 _5 O  z# S( k
that an adequate and appropriate level of part-time staff exists to  
& M( \1 g. p! x) qfacilitate the smooth operation of the venues and to ensure all  
; j* H) o  }, V6 h, A4 drenters needs are met.4 R, V8 u/ L) o4 s5 H2 ^* i1 Q
·     To work with the Technical Director to ensure that the skills  6 z+ E# ~3 A  r7 Q; \! C
and attitudes of all subordinate staff are appropriate in light of  
: N5 {9 t2 H+ \( ]+ wthe roles they must perform. This includes providing adequate and  3 u4 ?. j1 y. z$ u
effective training (and re-training) in all applicable and  2 p9 T) Q: a: p6 i3 Q) r+ \2 A+ t; e
appropriate areas, and ensuring that the Policy and Procedures manual  9 L( z# E: T( V/ A6 G
is kep up-to-date at all times.
# L# G4 n# s6 O4 a6 B: l: T+ j5 `6 r·     To ensure all staff are trained in and committed to providing  ! d; l) e+ |1 {
excellent customer service to all renters.; F1 n; c2 Q& [" C4 K/ @& V
·     To work with the Technical Director to arrange staff  
/ n# L7 ?. |) jscheduling.  To handle payroll related matters, under the guidance  
6 t5 G* M6 E# a, s: nand direction of the Manager of Venues and Programming, concerning  : Q9 _! A8 o1 v
the staff of the venues.
) g* f/ D0 m1 @0 w! p  l' T5 N4 J: e, W& t·     Working with the Manager of Facilities and Operations to ensure  ' j8 k( o4 `" u. K6 n, |' S
the appropriate setup/tear down of each venue.
: ]. b( @+ l) N0 u. p- f·     Working with the Manager of Programming and Venues to ensure  0 t  B/ j6 p' R0 l7 n
that additional requests such as licensed receptions are arranged.

a. To ensure, at all times, that the Financial and Administrative  
, G2 V' E9 \* H; n5 M* \( `: Osystems and processes utilized by or within the venues meet the  
+ ?# v+ b9 }! l: r. dappropriate standards, requirements and needs, and contribute in a  
2 f: W7 D, u0 c2 [positive way to the smooth operation and success of the venues. This  
  V) j$ I$ c& ^6 j1 V5 v; G5 M, dincludes, but is not necessarily limited to, the following:, M- g7 v$ p$ ^; \
To provide input and expertise in the formulation of appropriate  
5 k' |% ?  f; x2 j' Toperating budgets covering the venues to the SU´s Manager of  . I1 }! H) ?' T  m7 m5 Z4 S) b4 K9 t
Programming and Venues and to discuss and refine those budgets  
! }7 B4 U) k8 t; j5 ~Manager of Programming and Venues, and Manager of Finance &  
1 y# l. D' W: \, Z% o3 S- \, @Administration prior to their submission for final approval.
0 {3 U# u% l: `5 l! o·  To manage the venues in a manner which adequately and effectively  - M3 |* P; @& d) G  H4 m
reflects the budgets approved for the venues and/or which reflects  " f. i/ m' l: ]# P: H2 ]  h
the best interests of the venues and the Students´ Union.
3 J5 P! ]5 F4 L0 I- H·  To function as the key player in the submission of financial and  
$ Q5 O  g( k1 P) k* u9 q$ Uadministrative documentation covering the venues to be used in the  3 }! ^) P% W( R+ H( G4 e4 }6 w
compilation of monthly and annual financial statements, and such  / M, n# r; M9 y
other reports as may be necessary.
+ ~3 U/ u7 c5 U( C9 s·  To discuss those financial statements and other reports, together  & @3 n5 Y* ]4 I/ L0 W
with all financial and administrative procedures, with the SU´s  
9 @5 _9 T+ j& T5 A4 b9 o3 a* zManager of Programming and Venues and Manager of Finance &    k" G4 ]% i4 [% Z; ?
Administration with a view to determining and implementing action  ! {" T) p) ~6 C: T1 V3 L; Y$ M8 L# S1 Z
aimed at improving the financial and/or functional effectiveness of  ( Y6 M1 C' Y9 N9 {, D) w
the Horowitz Theatre.
' Q) {5 J+ s8 H& X·  To ensure the existence of adequate, effective and accurate job  1 G: l" G& ?5 i' p
costing systems to be used in connection with the determination and  
$ F- E2 O5 R8 C% `* ^5 d, V+ |6 {, R7 ?setting of appropriate prices for rental and staffing rates for  8 {9 I9 @' [" S5 l
events held in the Horowitz Theatre.7 C8 n7 e7 M0 O0 A: E
·  To develop accurate documentation to be used in connection with  , S! f9 a7 O0 ?/ C" E% K+ K
the billing clients, and to forward such documentation in a timely  : a$ K" \3 t6 ^& [
manner to the Accounting Department.
1 b# V0 y; q( y+ m·  To recognize, address and handle all matters relating to financial    ~" B8 z6 D! n+ I# I# Q
and administrative procedures and systems in a manner which reflects  4 Z6 P9 c8 f. e0 h4 X8 L. d8 {
the requirements of the SU´s Manager of Programming and Venues and  ) I: Y; r+ K" @; Z/ j+ n7 _
Manager of Finance and Administration, and in a manner which  ; V! R3 W' S& _4 y# a2 X  V5 q! j
contributes positively to the smooth operation and success of the  3 |  W; n* H8 l: A5 a* |8 w: k
venues.  j9 h+ @# A7 }
0 u+ H3 N4 Z# G( g: _) v# G
5.          Overall Roles and Responsibilities: Y! D! L/ |8 b& X4 ~; B
a.   To ensure, at all times, that the systems and processes used in  $ x# y1 P5 b% B  r
renting the venues meet the appropriate standards, requirements and  ' ~" ?' s, s1 b/ {  m+ e8 }
needs, and contribute to the smooth operation and success of the  
+ S$ _1 C4 A- V5 u3 s2 @venues. This includes, but is not limited to, the following:
. n- [8 l5 s* I7 B& P) q4 P1 ~0 h  Y9 z
·  To recognize, develop and set in place such rental procedures as  9 L9 G6 W" D- Y9 s2 |
may be necessary to ensure the smooth operation of the venues, this  
/ O* H" m' u- Kis to include but not necessarily be limited to systems and processes  & t% d$ ^, i2 j. W& }
in the areas of contracts, inventory management, contract evaluation,  1 Y1 U& M4 _& H5 g' J& \
pricing, costing, equipment usage, rental/contract invoicing,  
2 f( ~4 b) |5 A- S# [together with such other systems and procedures as may be necessary  / e9 F1 Q! [- z! e5 x" a$ U
to ensure the smooth, secure, efficient, cost-effective and  
+ {  q. u! Q7 g9 ~functionally-effective operation of the Horowitz Theatre.
' U4 a" B9 D, n7 P3 \·  To recognize, develop and set in place such operational procedures  
$ i2 a" B# G& z  K" Nas may be necessary to ensure the smooth, efficient and cost- 0 A6 G  [  o+ |
effective operation of the venues.
+ c, |$ S1 C$ T- m* t·  To negotiate rental lease agreements (contracts) relating to  ! g3 `1 E" ]& X# S
dates, rates, staff and miscellaneous charges.# l( v+ n$ z5 M1 z2 [  A' c: `
·  To ensure that adequate inventory is available at all times and  2 D+ R: L  S5 \( }. `
that such inventory is stored and issued in effective and secure ways.
. U; Q$ @+ o7 v1 l  @* A·  To consult with renters as to facility issues in producing their  
0 Y# O% H4 @6 u3 n2 I5 z3 H6 Vparticular event in the venues.
( j+ e- _  _- r, Y2 [·  To provide the venues on-site staff with such documentation and  
; o  f& T' ?, i7 @- V; \# O- gsupporting information as it may need to effectively fulfill the  $ H' L% K8 {- L/ W% j% j* X* c
roles they are to perform to ensure the success of the renter´s event.
  n( a0 k. d* d& i·  To produce quotes in respect to staffing costs for a particular  ; ?# B. K9 u- X4 }4 E4 X
rental with consultation with the Technical Director.
* ?4 n$ o  o/ W" ~; O·  To ensure that all queries raised with the venues whether from the  
1 {/ m% W0 A8 VSU or renters, are promptly and effectively handled and adequately  2 x* a2 V& R2 c8 S2 t# n, O/ v  X
answered, and to ensure that such action as may be necessary in  ' N6 S% a* F5 c* c& U& z
follow-up to such queries is taken in a timely manner., a- s- s$ h" D' @# E
To ensure that the venues and its capabilities are adequately,  8 U$ j, ~0 ~3 I6 Q* D7 t& h( u
effectively and cost-effectively advertised and promoted, and that  8 p! f! @% |" F# `0 Y
the cost of such endeavors does not exceed the budgetary provision  
( A/ P) ?2 q- }# ~% g4 omade for them unless prior approval is given by the Manager of  7 q6 Q1 K4 m! P0 t" K. Z4 l( z
Programming and Venues.
# _; r/ F+ W4 S& Y1 ^·  To act as an informed and knowledgeable resource in the case of  : O8 V" l, b: S
significant challenges and/or problems surrounding the tasks of  7 A& S& _6 k  K& Y
marketing, administration, operations, and any such other matters as  5 Z3 Y* J* s. K1 Q- Y
may provide such challenges and/or problems.
7 |8 k5 F& n4 D( j! W' U·  To attend such meetings as may be required to support the smooth  
1 w5 I4 c5 t/ n5 ^/ Poperation of the venues or the Students´ Union as a whole.
3 k, `; l! s; z' k·  To perform other job-related duties as may be required by the  & |0 {( S; Z' F# s
Manager of Programming and Venues in order to ensure the smooth and  ' @: V! k/ u! t& V$ Z4 E5 L% H* u: `
secure operation of the venues.
: l; N; f* ]+ q$ ]3 z1 U' n·  To recognize, address and handle all matters relating to overall  
: r$ }$ F3 s( boperations in a manner which reflects the requirements of the SU´s  
) [; {) ~2 ~% F, {' _Manager of Programming and Venues, and Manager of Finance and  
1 h+ x+ F$ O9 g1 q3 {" |7 x# LAdministration, and in a manner which contributes positively to the  
% w: b: {- U7 L7 a8 W; Xsmooth operation and success of the Horowitz Theatre.

1)             Minimum two years related post secondary education, or  
4 L) p+ c% R' ]* Pan acceptable combination of education and experience.
4 v* H5 e1 K. z  F2)             Supervisory experience.
0 f5 Q3 k+ l" c1 P5 y3)             Ability to create new initiatives with little or no  ( O5 ]* ?8 C/ r: e. D8 Y
