8 L/ H1 i6 o% KChange for Children is looking for a Program and Administrative Assistant who is highly motivated, has excellent ability to work independently, effectively prioritize tasks, be able to manage a flexible work plan and take direction from Program Managers to ensure timely and consistent administrative and program support to our vibrant organization.2 F' v: b% l' j- w

! v1 f. s4 U; _7 GCHANGE FOR CHILDREN ASSOCIATION (CFCA) is an Alberta-based, charity with 33 years of experience working for sustainable, community development in Latin America and Africa and providing a comprehensive global education program in Canada. CFCA is lead by a volunteer Board of Directors and a small, flat-structured core staff which includes: International Projects Program Manager, Education/Public Engagement Program Manager and Funds Development Program Manager. CFCA’s projects and programming are funded by private donors, government grants, foundations, fundraising events, and campaigns.

Key administrative duties:

• Act as first point of contact for donors, partners, members, other stakeholders, and the general public.' x& }" r; X4 G6 ~7 h4 E3 j- c

• Complete data entry in various programs.: E, u% s6 v+ E! t; [/ c

• Maintain an organized filing system for office records, meeting minutes, government registrations and donor records; Process annual government and charitable registrations forms.6 m& q6 Y- @0 k

( R- L( H. k( o) i9 O1 p9 y• Order and organize office supplies; Manage and maintain office systems and environment including policy and procedures manual and office operations manual.4 G% x0 h/ w  T; |, Y

• Maintain organizational calendar of events, meeting coordination and up to date membership lists of committees and groups.

• Manage mail outs for fund development or education purposes with support of Program Managers.* u2 N- ~* _: _7 L

• Support maintenance of Human Resources records and the development of employee handbook.

International Projects and Public Engagement/Communications:

( ^( z) T! C/ t" d* e• Maintain inventory of communication materials.

• Process volunteer applications, track volunteer hours, and assist with volunteer scheduling.

• Support management of online publicity and communication tools.

• Support the promotion of CFCA events in Alberta through online and print publicity resources.

• Support the management of requests for CFCA information and resources at public events.

• Compile information packages for fundraising and promotional purposes.$ W; x( I& i) b! O3 M; M6 R2 y

4 u$ u7 |. @& a1 K! F! e1 f, N• Manage database and support distribution of print publications.

• Provide administrative support for public engagement events and mail outs.5 {& Z% J& p# M# E  m6 `6 V

• Weekly out-of-office errands as required (get cheques signed by Board members, drop off grant applications, and pick up office supplies). These errands will require personal transport.

Fund Development

• Provide logistical support for key fundraising events such as silent auctions8 R% T0 H1 O* _* A

• In conjunction with the Funds Development Program Manager, maintain donor database and ensure delivery of timely charitable receipts.

• Coordinate volunteers for some fundraising events such as Casino and annual sales events.

# n: v% m& W" a# [! `) Z) c5 q• Support logistical work required for CFCA’s Annual General Meeting$ F7 @: |/ z1 J

4 P6 `7 N% X+ u) y• Assist in administrative tasks related to donor recognition and event reconciliation as required.

Skills and Qualifications: Education or work experience in office administration and experience with non-profit organizations an asset. Excellent communication and administrative skills; excellent oral and written communication skills; strong administrative and computer skills including proficiency in Word, Excel and Outlook or Outlook Express; Willingness to train on other relevant software; Very strong teamwork and time-management skills; commitment to social justice and sustainable community development.

Spanish language abilities are an asset.
