Hours of Work: Part-time (10 hours per week)

Position Summary: Within the broad guidelines of Integrated Service Program funded by Citizenship and Immigration Canada, and Alberta Employment and Immigration, the Receptionist/Immigrant Services Worker will answer a multi-line phone calls professional, politely, and directing the calls correctly; assist in clerical needs of the ISP team; assist with providing counter service and act as relieve to the other Immigrant Services Worker. + E) x) W) b+ \
& D4 m, d# W8 M) MKey Responsibilities:2 P3 e6 n' X% V* U
• Answer incoming calls and route calls to appropriate person
7 p: N+ I% v& i9 s% v• Take and deliver messages to the staff of ASSIST( P1 S! @" `4 F/ o
• Welcome clients and direct them appropriately- |- G$ b) |0 `. i
• Order and maintain office supplies for the front counter
1 d& k1 Z2 ~/ N; c/ ~ H• Oversee the front counter when other front counter staff are on holiday or in trainings( j6 k2 c, V4 D/ A/ z1 s
• Perform general clerical functions such as photocopying and faxing documents
/ K, m# J8 k6 a# V• Provide assistance to immigrants and clients seeking settlement related services in the capacity of immigrant services worker6 `1 ?- K' n( H- n1 Z& ]! b6 C
• Maintain and update the information boards with upcoming events
/ u f5 t8 l4 p1 J" v• Assist the ISP team in reminding clients to appointments of workshops or other events$ c& E0 K0 Z# i2 o, d# O
• Keep the reception area tidy and clean
, V, ^- M _3 N, B5 A3 h5 c• Attend meeting and training to stay current on immigrant settlement matters7 {# E- B$ l& Q+ H1 \1 x
• Maintain front counter service files. w+ ~$ o0 w; U
• Perform general office duties as assigned$ }+ r" b! W! |7 R! J7 e: Z1 J. R
• Report to ISP Program Manager" a. \1 }5 {, S) U- _2 k1 S
+ ]4 v2 O( \9 q2 X6 {! X3 [1 rKnowledge, Skills and Abilities Required:- i6 p9 d: H6 U5 u" {+ D
• Excellent communication (verbal and listening) on phone and in person
+ B9 s0 C/ d' g2 G! x5 ~) D• Fluent in Mandarin and Cantonese as an asset% V% [& {; y0 I1 Y( p% z
• Good English writing and oral communication skills* P1 K9 p8 R' u$ u
• Ability to work with newcomers and general clients8 g2 i# G7 L+ g- P" s. M, `) }
• Microsoft Office operation skills- Excel, Word, Outlook, h+ |3 b1 Y1 V9 R% c% T. C3 T
• Ability to address multi-task and set priority appropriately + ]' g0 C4 w" l* l! b- L! o
• Sensitive to the needs of immigrants with multicultural backgrounds

• Knowledge of immigrant services' h' [; e; l( Q; T9 j! d. E
Qualifications:
/ k- r- ^* Y& |1 K9 Z5 \+ c• 2-4 years of office and clerical experience
s1 Q+ }7 f- p; n( ^# H• Receptionist or customer service experience in a fast paced environment
x+ c4 E! I0 t0 V• Demonstrate workplace maturity and professionalism
5 J- t3 h4 ?% I6 g- k• Ability to work well under minimal supervision$ |0 a1 ~* e8 }; j+ O1 Z" N
