+ O, i }9 `9 |: PParticipate actively to help support the seniors and multicultural portfolios as well as Communities of Interest staff.

Communities of Interest staff, and in particular, the coordinators of the multicultural and seniors portfolios want you to join their team! Your primary objective will be to provide excellent organizational support and efficiently manage requests from the Multicultural Liaison Officers and the Seniors Coordinator. You will work independently but actively participate as a team member. Specifically, you will:
3 ]+ l$ M9 q) X7 L. u• Support multicultural and seniors portfolio staff with administrative functions associated with daily administrative needs, events and project planning; additionally you will be required to support Communities of Interest Staff 2 T4 e4 D6 }' J+ k& w/ e. n5 m% _
• Book meeting rooms, arrange catering, create and send invitations and track RSVP's with Excel for Communities of Interest staff
# W' J( f, z: h% c$ O5 a0 H• Prepare packages for meetings with relevant information
. ]( G0 X, i3 i3 [0 {: B• Attend relevant meetings and accurately take/transcribe meeting minutes . b: K" U. u) s. L' q; B* H7 m+ w T: h
• Direct inquiries to the appropriate agency, organizations or staff members $ A6 y) Z$ l, s$ w6 P
• Support Communities of Interest staff with planning and implementation for a variety of special events
- j5 j6 Y9 O% n9 L; F; [, A• Manage Excel data bases and create/edit correspondence and reports using Word and Publisher ensuring accurate spelling, grammar and content
* g' N+ Q2 u9 d5 t8 p9 c• Create and edit 311 Scripts
t' K( n3 N1 ^/ H4 {9 a• Create and edit PowerPoint presentations as required $ E4 T% }* o; m0 u
• Edit and distribute the electronic newsletters in Publisher or online mail out programs 3 m4 e6 `4 J, A% ?7 c$ j' ^
• Coordinate distribution of related resources # I9 F! [5 i6 \+ Q4 l
• Create purchase orders in SAP and track documents through POSSE
* O" e. ?1 ~8 w% M0 O( m• Perform and compile research on related subjects for Communities of Interest staff and catalogue results
" Y; q, x0 ~5 r• Assist with the development of seniors and multicultural resource materials 1 s- b# f6 `/ q" \; m3 Y
• Maintain electronic and hardcopy filing systems, including creating and maintaining records ) B0 K6 l/ V$ Y |. ]

• Grade 12 or completion of an appropriate certificate program from an approved business/college # R, U: C& s& ~
• 2 years diversified office experience, including creating/editing correspondence, taking and transcribing minutes, coordinating meetings (booking boardrooms and catering services), assisting with project/event implementation and effectively directing public inquiries to the appropriate person
# Q* p8 v2 d1 w; R• Experience working with multicultural persons and/or seniors is an asset . m- w. m0 V6 ^/ q9 _" u% E9 u
• Knowledge of programs and services for multicultural communities and seniors is an asset
$ X" E, m! h8 w. c• Sensitivity and understanding of needs/requirements of persons based on culture and age, maintaining professionalism at all times
# t9 s( _/ X; m: g7 p• Demonstrated ability to manage high work volumes within short timelines and changing priorities ; ?: p4 c/ ]9 [3 P( T
• Effective verbal and written communication skills; must have good listening skills 5 H6 ? [6 B# f! c
• Proficiency with Microsoft Word, Excel, PowerPoint, Publisher, and Outlook; a working knowledge of SAP and POSSE is considered an asset * ~! s/ B' U' o& S' ^3 ^ w) } p% h
• Proficiency with Red Dot and writing for the web is an asset : R8 g& I& h6 N) d4 g$ j3 R8 C! z

6 p' W/ i9 k4 A! L+ _- EHours of Work: 33.75 hours per week, Monday - Friday. Flex time is offered where attending evening meetings is required. Hours of work may be subject to the terms and conditions of a variable hours of work program7 O: P, @1 u" k! _% G0 s7 r' [7 Y6 E
! A& A# D; ?$ f7 g+ v. iSalary Range: 21M, Salary Grade: 006, $19.164 - $23.796 (Hourly), $1,293.57 - $1,606.23 (Biweekly), $33,762.180 - $41,922.600 (Annually). This Union contract is currently under negotiation
