The Administrative Assistant shall carry out activities in the different areas involved in office administration, including but not limited to the areas of bookkeeping, payroll, and administration. Major responsibilities are: Bookkeeping: get signatures and make timely and accurate payment of the accounts payable as they come due, keeping track and support the renewal of all insurances, contracts, and staff benefit packages, attend to banking duties, manage and control petty cash, prepare cheque requisitions with supporting documents, receive and keep records of all donations and membership fees, code and post expenses in the accounting system. / E9 e1 x' _' G% ? NPLUS: Reception - answer phone, welcome visitors, keep a welcoming environment. Assisting Executive Director and Managers: assisting in organization of Board and management meetings, professional development, conferences and others; filing documents, photocopying, faxing, scanning, mailing, etc. Filing: Maintain an updated filing system for the organization documents, including but not limited to accounting, funding and membership. Managing Facility: supervise Janitor, coordinate services with landlord, IT, alarm company, utilities providers and others. Coordinating office volunteers: recruit, train and supervise them during their office volunteer work as needed. Supporting Organization Events: Open Houses, Annual General Meetings, Fundraising events, etc. Others as request by supervisor4 Y9 I5 m5 M& N) f

Qualifications: Diploma or Certificate in Office Administration and minimum of 2 years administrative experience or equivalent work experience. Solid understanding of bookkeeping, office duties and reception. Advanced computer skills, including proficiency in MS office, familiarity with data entry software and fast, accurate keyboarding, minimum 50 wpm. Strong organizational and time management skills. Should have an outstanding knowledge of Simply Accounting and other electronic spreadsheets. Ability to follow instructions, work independently, with minimal supervision and take initiative. Well versed in human resources, well organized with attention to detail & able to work as part of a team with staff & volunteers.# p3 j& E0 K5 m. w5 b" ~1 J2 _5 X
